Question about tracking from form email to purchase

I'm looking for a solution to this. I receive about 20 email referrals per day in two different formats which each give the following variables.
GUEST COUNT
reception facilities (YES OR NO)
IP ADDRESS
NAME
EMAIL ADDRESS
other non essentials

I want to use the data from these forms to send an automated reply by NAME to the EMAIL ADDRESS of those with the proper GUEST COUNT and answer YES. I also want to use the IP ADDRESS to see if they visit my site as a result of the reply and match that with the NAME to follow up the path to purchase. I'm assuming this is possible, just way above my head. I'm not looking for someone to do the work for me, or necessarily free solutions. But naturally, the cheaper the better if it does the job. Oh, and if anyone really wants to do the work thats ok too.:)
